WHAT IS AN APOSTILLE?

An apostille is an authentication of a public document issued pursuant to the Hague Convention on Apostille abolishing the Requirement of Legalization for Foreign Public Documents. WHAT TYPES OF DOCUMENTS DOES ARE ALLOWED TO BE APOSTILLED IN THE PHILIPPINES?

Almost any kind of document such as Birth Certificates, Marriage Certificates, Death Certificates, School Records, and other legal documents.

WHAT ARE THE REQUIREMENTS TO GET A DOCUMENT APOSTILLED?

Get started by making sure you have a valid identification requirements, the type or a copy of the document you need for apostille, and necessary information.

*NBI Clearance/Sundry

  • Original document issued by National Bureau of Investigation (NBI) with dry seal
  1. Note: Personal copy is not accepted by the DFA.

*Birth/Marriage/Death Certificate, Certificate of No Marriage Record (CENOMAR, Advisory on Marriage and/or Negative Records)

  • Original document issued by Philippine Statistics Authority (PSA)/ National Statistics Office (NSO)
  • For newly registered records, Local Civil Registrar (LCR) copy should be certified by PSA.
  1. Note: Provide an LCR copy of Birth (Form 1A)/Death (Form 2A)/Marriage (Form 3A) Certificate if the entries from PSA/NSO are UNCLEAR

*School Documents

  1. For Elementary and High School Level (Form-137 and Diploma)
  • Certified True Copies from the school; and
  • Certification, Authentication and Verification (CAV) from DepEd Regional Office
  1. For Technical and Vocational Courses (TOR and Diploma/National Certificate)
  • Certified True Copies from the school; and
  • Certification, Authentication and Verification (CAV) from TESDA
  1. For State Colleges and Universities (TOR and Diploma)
  • Certified True Copies and Certification, Authentication and Verification (CAV) from the school
  1. For Private/Local Colleges and Universities (TOR and Diploma)
  • Certified True Copies from the school; and
  • Certification, Authentication and Verification (CAV) from Commission on Higher Education (CHED)

*Professional Regulations Commission (PRC) document/s

  • Original/Certified True Copies from PRC

*Medical Certificate/s

  • For employment: DOH stamp per document
  • For other purposes : Certification issued by DOH with attached Medical Certificate

*Civil Aviation Authority (CAAP) issued document/s

  • Certified by CAAP

*Driver’s License

  • Certification from Land Transportation Office (LTO Main and Regional Offices only)

*Certificate of Employment/ Trainings/ Seminars/ Baptismal Certificates and other documents issued by a private entity

  • Notarized Affidavit stating necessary factual circumstances and indicating certificate/s as attachment/s
  • Certificate of Authority for a Notarial Act (CANA) signed by the Executive Judge/Vice-Executive Judge
  1. Note: The affiant’s (person who executed the affidavit) name will be reflected on the Apostille’s caption.

*Special Power of Attorney/ Affidavit of Consent/Advice, Joint Affidavit, etc.

  • Certificate of Authority for a Notarial Act (CANA) signed by the Executive Judge/Vice-Executive Judge (issued by the Regional Trial Court)

*Memorandum of Agreement/Memorandum of Understanding/any other form of contract

  • Notarized Affidavit stating necessary factual circumstances and indicating certificate/s as attachment/s or a jurat from the notary public on the document
  • Certificate of Authority for a Notarial Act (CANA) signed by the Executive Judge/Vice-Executive Judge (issued by the Regional Trial Court)
  1. Note: Copy of Notarial Commission is not the same as Certificate of Authority for a Notarial Act. Clerks of Court may not sign the CANA as the certifying official (SC OCA Circular No. 27-2007)

  • Certified True Copies from the Court

*Immigration Record/s

  • Certified by Bureau of Immigration (BI)

*DSWD Clearance

  • Original document issued by Department of Social Welfare and Development

*Police Clearance/Sundry

  • Original document issued by Philippine National Police (PNP)

*Business Registration and Other Documents issued by a Government Agency (e.g. SEC, DTI, BIR, SSS, Municipal Business Permit & Licensing Office, etc.)

  • Certified true copy from the issuing office

*Barangay Clearance/Certificate

  • Mayor’s certification/clearance which has a jurisdiction over the Barangay

*Export Document/s

  • Certified by Philippine Chamber of Commerce (PCCI), Department of Health (DOH), Department of Agriculture (DA) or by the Bureau of Food and Drugs (BFAD), depending on the nature of the document
I AM AN OVERSEAS FILIPINO, HOW CAN I REQUEST FOR APOSTILLE SERVICES?

You can place your request thru us by selecting the type of document you need to be apostille, and add it to your cart. You will then be redirected to our online payment platform where you can pay your order.

We will send you an email with a copy of the Authorization Letter or Special Power of Attorney that you need to sign, and ask you to upload copies of (a) your valid government ID bearing your signature and (b) type of document you need to be apostille or send us the necessary information about the type of document.

WHAT IF MY DOCUMENTS ARE NOT IN THE APOSTILLE PINOY'S LIST?

ARE THERE ANY STEPS THAT NEED TO BE UNDERTAKEN BEFORE MY DOCUMENTS CAN BE APOSTILLED BY THE DEPARTMENT OF FOREIGN AFFAIRS (DFA) IN THE PHILIPPINES?

Different documents have different Apostille requirements, such documents issued by:

( a ) Philippine Statistics Authority (PSA)/National Statistics Office (NSO) i.e., Birth Certificate, Marriage Certificate, CENOMAR of Certificate of Singleness, and Death Certificate, which must all be PSA/NSO-authenticated.

( b ) Land Transportation Office (LTO), i.e. Driver's License needs a Certification from the LTO.

( c ) Schools/Universities, i.e., Transcript of Records, Diplomas, Certificate of Enrollment, Honorable Dismissal, Transfer of Credentials, Course Descriptions, and Certified True Copies of documents issued by these Schools/Universities.

  • Documents issued by the Commission on Higher Education (CHED), the Department of Education (DeEd) Regional Office, and the Technical Education and Skills Development Authority (TESDA) require a Certification, Authentication, and Verification (CAV).

( d ) Criminal/Civil/Administrative Clearances, i.e. NBI or PNP which must be original.

  • Barangay Clearances must have a Mayor's Clearance issued by the local government unit having jurisdiction over the concerned barangay.

( e ) Hospitals/Clinics, i.e. Medical Certificate needs a Certification issued by the Department of Health (DOH).

( f ) Notarized documents, i.e. Special Power of Attorney, Extra-Judicial Settlement Agreement, etc. require a Certificate of Authority for a Notarial Act (CANA) issued by the appropriate Regional Trial Court.
